AI Bookkeeper Setup: Priam Prepares Invoices for Your Review

For contractors, service businesses and office managers who still copy finished job notes into invoices by hand.

Priam prepares the bookkeeping paperwork your office retypes every week: invoice drafts from approved job records, supporting packets and missing-detail lists for the person who checks them. Issuing invoices and taking payments stay with your staff. Focus costs 1,497 dollars for setup, with 249 dollars per month, and provider usage is extra.

Call to confirm your office task, accounts, review process and provider budget. Setup payment is confirmed before onboarding.

  • Drafts built from one approved job record
  • Missing or conflicting details flagged on the draft
  • Sending, payments and bank changes stay with your staff

We start by agreeing which record decides what goes on an invoice. Then we set the math checks, where drafts land and who approves them, and only after that do we configure anything.

A plan moving from scope to delivery and review

Priam is the AI bookkeeper setup from Trojan Digital Marketing for businesses that keep retyping approved job details into invoices and office paperwork. We configure a workflow that prepares the draft and gathers its supporting records, and your reviewer checks the details before anything is sent or paid. It suits a contractor, a small service company or a busy office with a repeatable process and someone responsible for the final decision.

Priam handles bookkeeping prep. Your bookkeeper or accountant keeps the books, the tax treatment and the reconciliations, and Priam hands them cleaner paperwork to start from. Issuing an invoice, taking a payment and changing bank details stay with your staff.

Plans: Focus is 1,497 dollars setup plus 249 dollars a month and covers one agent, one approved workflow, up to two connected business accounts, testing, handoff and one hour of monthly support. Team is 2,997 dollars setup plus 449 dollars a month, and Operations starts at 4,997 dollars setup with monthly support from 699 dollars. AI usage, platform subscriptions, sending charges and other third-party costs are separate. Call (317) 981-2386 to discuss Priam. We agree the work and arrange payment by phone before onboarding begins, and you can request a callback if you're between jobs.

Jeff Clerisier, who founded Trojan Digital Marketing in March 2018, works out the scope with you. Your first strategy call is free, and in business hours we aim to reply within five minutes.

Questions, answered.

Can Priam prepare an invoice from an estimate?

We can scope drafting from an accepted estimate and the other records your business requires. An unaccepted estimate only describes proposed work, so tell us how your team records acceptance, completion, changes, deposits and terms. If the source isn't ready, a missing-details packet may be the right output.

Is Priam an AI bookkeeper?

Priam is an AI agent for bookkeeping prep. He drafts invoices and gathers the supporting paperwork from approved job records, and your bookkeeper or office manager checks the result. Keeping the books, tax treatment, reconciliations and every payment decision stay with people.

Does Priam replace our bookkeeper?

No. Priam prepares drafts within rules your business approves. Your bookkeeper or accountant stays responsible for accounting judgments, tax instructions, reconciliations and exceptions within their role, and the setup makes the source and proposed output easier for them to check.

Will Priam send invoices on its own?

No, not in the starting setup. Priam prepares work for review, and sending needs a separately agreed step with a defined account, destination, document version and approval boundary. Your team can also keep sending by hand. We check the billing app's automatic settings, because creating a record can do more than produce a document.

Can Priam collect payment or change bank details?

No. Drafting invoices gives Priam no authority to start a payment, change bank details, issue a refund or alter a customer's payment terms. Those actions need their own business decision and account controls, and financial tools can stay unavailable for the first workflow.

Can we use our current accounting software?

Name the product and account type on the setup call. We'll review its supported access, permissions, draft behavior and existing automations. A native connection may fit, or preparing a document outside the app may be a better start, and custom API work or a difficult integration gets a separate quote.

What happens when a document contradicts the job record?

The agreed source policy decides which record can be used and which differences need a person. A later document isn't automatically authoritative. The workflow keeps the conflicting references, names the disputed field and stops or flags the task, and your office decides whether to correct the source, approve a change or leave the invoice unprepared.

Can we start without connecting email?

Yes, where the approved task can run from the chosen source and draft location. A document and a review checklist may be enough for the first workflow, with your staff sending invoices in their existing process. A later email-draft task can be considered separately.

Are handwritten documents included?

The standard source allowance is for text-ready material. OCR and transcription need an agreed extraction process and extra checking, especially around names and amounts, and we quote scans or a larger document collection separately. Bring redacted examples so we can judge the input quality.

What counts toward the monthly run allowance?

One processed event or requested task counts as a run, including a retry. Focus allows up to 1,000, Team 3,000 and Operations 7,500 each month for the defined workflow. AI tokens, message charges, hosting and other provider usage are extra, and we agree what happens when optional work reaches its ceiling.

What will our staff learn during handoff?

The training session covers the configured task, where drafts and exceptions appear, how to review sources and how to stop optional processing. Staff should understand what the agent can access and who handles a failed connection. The number of people trained follows the selected plan.

How soon can we launch?

We'll discuss timing after reviewing your records, account access, approval process and the test cases the scope needs. A simple document task and a custom billing integration involve very different work. Onboarding starts after the agreed setup payment is confirmed.

Can Priam run on our own device?

We can assess a private or local setup, the same option described on Hector's page. Device capacity, model behavior, account connections and the full data flow decide whether it fits, and an invoice workflow can still contact remote mail or billing systems when inference is local. Hardware and private hosting are quoted separately.

What happens if we stop monthly support?

Confirm cancellation and handoff terms in the written agreement before buying. Monthly support starts when the approved workflows go live and renews monthly. The handoff records the agreed account ownership and setup details, and managed scheduling and maintenance end with the support service.

How do we buy the setup?

Call us with the office task, the source of approved job details and the person who will review drafts. We agree the accounts, permissions, operating limits and written scope, then arrange payment by phone, and onboarding follows confirmed payment.

Choose the bookkeeping task that keeps coming back

A finished job can leave several office tasks undone. Someone has to find the accepted estimate, check the latest change, match the right customer and turn the notes into a clear invoice description. The people doing that work often know the business well, and their time goes to hunting for details that should have arrived together.

We start Priam with a task you can describe from beginning to end. An approved completion record arrives in a folder, Priam prepares a draft from the matching job details, and the office receives a supporting packet. Your business chooses which record proves a job is ready to bill, and a confident message from an agent never replaces that evidence.

Your first workflow needs a predictable handoff. If every job is handled differently, we'll help find the part that can be bounded before choosing a plan. A simple draft from a controlled set of files may help more than a wide connection to every office application. More office tasks can come later, once the team can explain how the first one succeeds, fails or waits for a decision.

Most owners who look for an AI bookkeeper want the retyping to stop, and that's the part Priam is built for. Judgment calls stay with people, such as how to treat a deposit, whether a customer gets a credit or which account an expense belongs to. The workflow makes those calls easier to see and leaves them with the person who owns them.

Split the work between Priam and your people

A bookkeeping setup works when everyone can say who does what. We write that split into the scope before configuring anything, so the office manager, the bookkeeper and the owner each know which decisions stay with them.

Who does what in a Priam setup
Person or agentWhat they handleWhat they hand on
Priam
Invoice drafts, supporting packets and missing-details lists from approved records
Every draft and exception, to the named reviewer
Office manager
Marking jobs ready to bill, checking drafts and answering exceptions
Approved drafts to whoever sends them
Bookkeeper or accountant
Tax instructions, account treatment, reconciliations and the books
Rule changes that Priam's instructions need
Owner
Price lists, payment terms and who may approve what
Decisions on new customer situations

Your business may combine some of those roles, especially in a small office where one person does most of the paperwork. That's fine, as long as the scope names who approves each draft and who can change Priam's rules. When a role changes hands, the new person learns where drafts and exceptions appear before the old one leaves.

The split also tells you what Priam should never be asked to do. If a request lands on his queue that belongs to the bookkeeper, such as recoding an expense or adjusting a past entry, the workflow sends it to that person with the context attached.

What each plan covers

Choose a plan around the office work you want configured
PlanService feeIncluded work
Focus
1,497 dollars setup + 249 dollars per month
One role and one workflow. Training is for up to three team members. Connections are limited to two business accounts. You can use 25 text-ready knowledge sources. Monthly allowances are 1,000 processed runs and one hour of support.
Team
2,997 dollars setup + 449 dollars per month
Up to two roles, three workflows, four business accounts, five trained team members, 75 knowledge sources, 3,000 processed runs and two monthly support hours.
Operations
From 4,997 dollars setup + from 699 dollars per month
Up to three roles, five workflows, six business accounts, ten trained team members, 150 knowledge sources, 7,500 processed runs and three monthly support hours.

Each plan serves one business. Focus covers one service area, Team up to two and Operations up to three, where an area means an approved list capped at ten ZIP codes or one county. Office workflows that don't depend on territory still need an agreed business boundary, and several legal entities, accounting systems or separate permissions can change the quote.

A workflow starts from one agreed trigger and ends with a defined output and handoff. Actions are capped at five, with one approval step. A connected service uses a single business account with permission from your team, and the AI service and hosting have their own metered charges. Each run counts an event we process or a task someone requests, and retries count toward that allowance too. The allowance doesn't buy prepaid AI tokens or messages.

Setup includes agreed instructions, supported connections, sample testing, handoff instructions and one team training session. Monthly care covers an operating check and corrections or small changes within the listed time. We charge 150 dollars an hour for approved extra support, unless you agree to a separate project quote, and unused support time expires each month. New workflows, bespoke integrations, migrations and model training are scoped separately.

Decide which record is allowed to become an invoice

The most useful question during setup is simple: where does your office find the accepted job details? It might be a job-management record, an approved spreadsheet row or a signed document attached to a completed work order. We need a clear answer, because different files can describe different stages of the same job.

An early estimate might show a proposed amount, a later change order might add work, and a crew note might explain what happened without proving the customer accepted the change. Priam's source rules tell those records apart, carry their dates and identifiers and flag disagreements for the reviewer. An unresolved amount stays unresolved.

We agree the fields your team needs. These can include the customer, job number, billing address, items, quantities, rates and instructions from your accounting team, with optional notes kept visibly optional. If the completion evidence is missing, the output becomes an exception notice and no invoice draft is made. That makes the next staff action clear and keeps an incomplete job out of the send queue.

Make the draft easy for a bookkeeper to check

A polished PDF isn't enough for the person approving an invoice. They need to know which details were used, whether anything changed and where a questionable line came from. We can set up a supporting packet beside the document, in the output format your team has agreed to manage.

The packet might hold a job reference, a short source list, item descriptions, amounts calculated by the approved system and a brief exceptions section. It keeps facts taken from records apart from wording proposed by the agent, so a reviewer can compare the draft with the accepted work without opening an unrelated customer folder.

  • Show the intended customer and destination before approval.
  • Identify the record version used for the draft.
  • Keep missing tax, discount, deposit or change-order decisions visible.
  • Present attachments as a checked list, including any that are unavailable.
  • State the proposed next action and the person allowed to authorize it.

We agree the draft format around the way your office actually works. A small business may prefer a draft document and a short checklist, while a larger team may need a separate approval queue. That second option can require extra account access or custom development, which belongs in the quote before payment.

Keep calculations tied to approved business rules

Invoice amounts should come from your accepted prices and the calculation method your business uses. The agent can explain an item or locate its source, and we check how your system handles math, rounding and currency. It also needs your tax rules and a total you can check apart from the wording.

During discovery, tell us who owns the price list and who can change it. Also identify the policy for deposits, credits, retainage, partial completion and any fees your business applies. Your bookkeeper or accountant supplies the relevant accounting and tax instructions. Priam prepares details within those instructions, and a new customer situation may still need that person's decision.

For an illustrative example, suppose an accepted record includes two labor items and an approved materials charge. The draft keeps those item identifiers and agreed rates. If a separate note mentions an extra visit without an approved charge, that visit goes on the list of questions for staff. Adding a plausible price would turn a language guess into a billing decision.

The same care applies to currency and dates. A number without its currency can mislead, and a due date should come from agreed terms and the chosen invoice date. We test the boundary cases that fit the agreed task, including missing terms, conflicting rates and rounding differences.

A draft in one product can behave differently from a draft in another. Creating a record may reserve a number, trigger an automation, update a customer balance or make details visible to other users. We check the selected account's supported functions and settings before agreeing that a connected workflow can prepare the result you want.

The Stripe invoice API has distinct steps for creating a draft, finalizing it, sending it and collecting payment, and its official client code explains automatic advancement and collection controls. That distinction matters: a draft-first workflow needs the relevant automatic behavior reviewed, because the word draft alone doesn't prevent every later action. The official Stripe invoice resource explains those operations.

This is a setup consideration, and it doesn't claim that Priam already connects to your billing account. On the call, name the product, account type, existing integrations and any automatic billing rules. We can plan a document-only task outside the accounting system when that's the better first step. Creating an accounting record, sending it and collecting funds each need their own agreed authority and tested path.

Prepare the invoice email without confusing it with delivery

Your office may also want an email ready beside the invoice. We can configure a draft that uses approved wording, the correct reference and an attachment list, and the reviewer can see the whole message and destination before any sending step is considered.

Microsoft Graph documents creating a message draft and sending an existing draft as separate operations. Draft creation requires permission to write mailbox content, which is meaningful access even when the workflow never sends email. We check the mailbox and the permission granted to it, since creating a draft still gives the connection access to private records.

A provider accepting a send request doesn't establish that the customer read it or that every attachment arrived as intended. Your approval queue should tell prepared, approved, attempted and confirmed states apart, using the evidence the selected system provides. Delivery monitoring, bounce handling and follow-up can be separate approved workflows, each with its own agreement.

Bind approval to the exact invoice and recipient

The person reviewing a draft should authorize a specific action. A useful approval names the document version, customer, recipient, amount, relevant attachments and proposed operation. If any material part changes afterward, the earlier decision shouldn't quietly authorize the changed invoice.

We discuss where this rule can be enforced in your selected tools. An application may provide an approval status or a protected send action. Another setup may have staff send the approved document by hand from their own account. The written agreement explains that boundary in language the office can follow.

Approval availability matters too. If the reviewer is away or the approval system can't confirm a decision, the workflow needs a defined waiting or exception state. It shouldn't infer permission from silence, a confidence score or a note inside an attached document. The OWASP AI Agent Security Cheat Sheet recommends binding high-impact permission to the exact action and checking it outside the agent's proposal process.

Checking the draft before sending is part of Priam's intended service. Payment initiation, bank changes, refunds and other financial actions need separate decisions and account controls, and we won't turn a general invoice-drafting request into standing permission for those operations.

Avoid rebuilding the same invoice after a retry

Office systems can repeat events. A user might save a job twice, a connector might retry after a timeout, or someone might drop the same file into the intake folder again. The workflow should recognize the task it has already processed and explain what happened.

We can define a task identifier from the authorized job record and its revision. Before another draft is created, the process checks its recorded state. An earlier attempt may have created an invoice even if its confirmation was lost, so the workflow checks that result or asks staff before trying again. Blindly starting over can create a second bill.

Some providers support their own duplicate protection, and others need a small tracking record in the chosen workflow system. We assess what the actual tools support and include that work in the agreement. The acceptance exercise covers repeated events, two staff members requesting the same task and a connection failing after an operation was accepted.

Retries count as processed runs under the plan and may generate provider charges. We set a bounded retry policy and a named exception recipient, so a fault doesn't become a background loop that keeps using your allowance.

Organize job paperwork for your bookkeeper

Priam can also be scoped around office documents when invoices aren't the bottleneck. A team might need approved job packets organized for review, a missing-details list prepared from a controlled folder or a short internal summary attached to a work order. These uses can share some source records while having a different trigger and output.

The important starting point is ownership. Someone should decide which files belong to the task, how current versions are identified and where completed output goes. Names such as final, latest or new don't reliably settle conflicting documents, while a dated version and a source owner give the agent and the reviewer a firmer basis.

A useful document index can keep the file reference, relevant date, job identifier and approved category. Proposed renaming or folder moves need the permissions and approval boundary agreed for that workflow. Deleting source records or reorganizing a whole shared drive is wider work than preparing an office summary.

If you're deciding whether to configure the first task yourself, our business AI agent guide walks through defining a narrow job and testing its handoff. Priam is the service path when you want us to scope and set up that work with your team.

Handle scans, photographs and incomplete notes honestly

A clean exported record is easier to process than a photograph of handwritten notes. Text extraction can misread a decimal point, a customer name or a quantity, and a document may contain an old address or a handwritten change that hasn't been approved.

For the standard knowledge allowance, each page or file needs ready-to-use text, up to five megabytes. Scans needing OCR, transcription and large document collections need a separate quote. We'll decide whether those inputs belong in the first workflow and what evidence the reviewer needs when extraction is uncertain.

An extraction process should keep a link or reference to the original page where the reviewer can check it. For a billing amount, a plausible reading is no substitute for a clear source. We can set missing or conflicting fields to stop drafting or appear in an exception packet, depending on the task you've approved.

Before onboarding, gather a small set of sample records with customer details removed. Include an ordinary job, an amended job, a document with a missing field and a source your office would reject. Those examples help us understand the work without asking you to put a live customer record into a public website conversation.

Give Priam access only to the records the job needs

We review account permissions as part of the setup. A dedicated workflow account or a carefully scoped integration may fit when the platform supports it. The office should know which business data the connection can read, which locations it can write to and who can revoke it.

A connector's permissions can be broader than the job description. A mailbox permission used to create drafts can also allow other mailbox changes, for example, so the boundary needs account-level and application controls plus a working process for staff. An instruction that says prepare invoices carefully doesn't narrow a token's authority.

We prefer client-owned provider accounts with clear administrative ownership. Staff should use supported sign-in methods and never send passwords through a website chat. Secrets belong in the selected system's protected configuration, and the handoff says how they're rotated or revoked.

Invoice drafting can involve names, addresses, job descriptions, account identifiers and payment references. We discuss the selected AI provider, storage locations, connected tools, logs and backups before launch, and we use the smallest record set that supports the task. A draft description often doesn't need a complete customer history, and a testing sample usually doesn't need real contact details.

Retention is an operating decision too. Decide which draft versions and task logs to keep, where they're held and who can remove them under your policy. Your accounting records may have separate retention obligations, and your business supplies the relevant legal and accounting requirements. If your office bills for several companies, separate their records and accounts before connecting them, so each draft uses the right entity's address, bank details and customer details.

If local or private processing matters to you, the private setup described on Hector's page can host Priam too. A private model changes where inference happens, while mail, billing, backups and other connections still need their own data-flow assessment, and we quote that wider deployment separately.

Treat instructions inside a document as source content

A file can contain words that look like commands to an assistant. Someone might paste a note telling it to skip the approval step, change a destination or send a copy elsewhere. That text is content from the document, and it gives no permission to change the workflow.

We can test a sample input with a misleading instruction and check that the output stays within the agreed task. The agent keeps using the business's authorized rules and account permissions, and suspicious content can be flagged for the reviewer without being acted on.

This protection needs more than a warning in the prompt. Tool availability, account permission, allowed destinations and the final approval path each define what can actually happen. If the first workflow only prepares a document, sending and payment tools can stay unavailable to the role.

A sensitive workflow also needs change control. Adding a new tool, broadening folder access or changing the model can affect the boundary tested during setup. We review those changes within your support allowance where practical, or quote the additional work before widening the approved scope.

Plan the work queue around the people reviewing it

Preparing more drafts won't help if the office can't see which ones need attention. During setup, name the person who reviews ordinary invoices and the backup who covers an absence, and agree how they learn that a new draft or exception is ready.

The queue should tell an incomplete source, a prepared draft, a reviewer's correction request and a decision ready for the next approved step apart. Those states make daily work easier to follow than one broad success label, and they help staff avoid sending a draft while another person is still changing it.

You may prefer a workflow that runs only when a staff member requests it. A scheduled morning packet can be scoped separately if the source records and team availability support it, with an agreed time zone, a defined input cutoff and a stop method. An office computer that's asleep or a service that isn't running can affect the job.

We don't promise instant drafting or a fixed rollout date before reviewing your systems. The quote depends on the records, supported connections, approval process and testing your business needs.

Illustrative workflow: an approved job becomes an approval packet

This example describes a possible setup using invented records. It isn't a client result or a live installation. Imagine an office with a controlled job list and an authorized document folder. A staff member marks a completed job ready for invoice drafting after checking the accepted work.

  1. The workflow receives the job identifier and reads the matching approved record.
  2. It checks required fields and compares the accepted items with any linked change record.
  3. The approved calculation path supplies the amount, currency and terms.
  4. Priam proposes a plain item description and prepares the document in the agreed draft location.
  5. The office receives a packet showing source references, missing details and the exact proposed recipient.

Suppose the job note mentions an extra task, but no accepted change is attached. The approval packet flags it and leaves the disputed charge for staff. The reviewer can request a correction or supply the missing approval, and a changed amount produces a revised draft for a new check.

The first workflow ends at that staff handoff. If you want a connected send step, we'll assess the account settings, permission, duplicate protection and confirmation evidence. Staff can also keep sending by hand, and the choice goes into the work agreement with the people and responsibilities named.

Check ordinary work and the awkward cases

Testing should show how the workflow behaves when details are incomplete. We use sample records agreed with you and compare the actual output with the result your office expects. A good demonstration includes a draft that passes review and a task that correctly waits for more details.

Examples to include in an invoice-drafting acceptance exercise
SituationExpected evidence
Complete approved job
Draft fields match the source, totals follow the approved calculation, and the reviewer can open the referenced evidence.
Missing acceptance or terms
The task stops or clearly requests the missing decision, with nothing invented.
Repeated job event
The existing task or result is recognized, and no duplicate invoice is quietly created.
Edited amount after approval
The changed draft needs another authorized review.
Unavailable account or reviewer
A named person receives an exception, and the workflow stays within its allowed actions.
Instruction hidden in a file
The instruction leaves recipients, permissions and the business's review rule unchanged.

The accepted work plan sets the exact cases and records. A connection or feature that hasn't been tested shouldn't be presented to staff as ready. We agree how to switch off the selected tools or restore the last working setup, so staff can investigate a problem while new optional work stops.

Measure the effort around the draft

Priam's goal is to cut repeated office effort while the people responsible for billing stay in control. To decide whether a workflow is useful, measure the whole task, including gathering documents, checking the draft, correcting mistakes, handling exceptions and maintaining the connections.

Start with your own ordinary jobs. Record how staff prepare them now and where they have to ask someone else for details. After the agreed pilot is running, compare similar work using the same review standard. A faster first draft can still need extra checking, so the total process matters.

Useful measures include drafts accepted without a material correction, tasks stopped for missing details and duplicate requests recognized, along with reviewer time per comparable job. Less repetitive work can free the team for customers or harder tasks. On its own, it doesn't mean a salary saving or a reason to cut a staff role.

Judge this task by the effort your office actually spends on it. Your operating check uses observed outcomes from your configured workflow, with the source period and its limits kept clear. If the work isn't useful, we can discuss narrowing it or stopping the optional process.

Budget for the service and the systems behind it

The plan's monthly fee pays for our included support and operating checks, and provider usage stays separate. Depending on your approved task, costs can include AI processing, hosting, workflow software, document extraction, mail delivery and the subscriptions your office already uses.

We prefer providers billed directly to the client. If we pay an approved provider on your behalf, documented charges pass through at cost. Before launch, agree the accounts, currency, usage allowance and who can authorize an increase, since a run allowance doesn't change a provider's own billing rules.

The setup can include supported usage controls and an alert at eighty percent of the agreed budget. At the ceiling, optional outbound work pauses or goes to the named team contact according to the written terms. Provider reporting can arrive late, so a safety buffer is more honest than a promise that every account stops at an exact dollar.

For a draft-only office task, skip voice or text capacity unless you need it, because optional channels add their own limits and charges. A new workflow that phones customers or sends bulk messages needs its own work agreement and approval design.

Bring one ordinary job and one difficult example to the call

You don't need to redesign the office before talking with us. Start with the task someone repeats every week and explain where it slows down. Have a redacted approved record, your current invoice format and an example of a job that needed extra judgment, so the setup conversation has something concrete to work with.

Also name the billing app, the document location, the reviewer and the person who owns account permissions. Tell us whether your priority is preparing the draft, collecting the supporting files or making exceptions easier to handle. We'll choose the plan around that first useful result and identify any extra integration or data work before payment.
