How to Measure Enrollment Inquiries Without Inflating Results

A form submission is one stage of an admissions journey. Use defined cohorts and separate event counts from people so reports show what the school actually knows.

Your report says inquiries doubled, but admissions sees about the same number of families. Both can be right. One family can fill out the form twice, sign up for an open house and then book a tour. A report that counts each action turns one child into four leads. At Trojan Digital Marketing, we'd build that report from the definitions your admissions office already uses.

Bring your last admissions report to a call: the first strategy call is free, and during business hours we aim to reply within five minutes. This article extends the measurement section of our school enrollment marketing guide. Every example here is a made-up calculation. None is a real school's result or a forecast.

Choose the unit before calculating a rate

Decide whether the report counts households, prospective students, inquiries, or event registrations. Each can be useful, but they answer different questions. A household may consider two children; one prospective student may generate several inquiries; one registration may include several attendees.

Use the selected unit consistently within a metric. If the numerator counts prospective students who attended a visit, the denominator should refer to the corresponding prospective student cohort. Dividing that number by a count of unrelated form events produces a rate with an unclear meaning.

Document the rule in the report, including how the school handles siblings, repeated contacts, and inquiries for more than one program. A short definition is more valuable than a polished chart with an ambiguous denominator.

Separate digital events from admissions records

Website analytics can record actions such as opening an application link or completing a form. The admissions system may record a verified inquiry, an attended visit, or an enrollment. These sources should not be treated as interchangeable.

Google Analytics describes key events as important recorded actions. Marking an event as important does not change what the event represents. An application link click remains a click unless another reliable system confirms the application itself.

Google also documents different key event counting methods. Check the configuration before comparing reports. A change in how repeated events are counted can change the number without any corresponding change in school interest.

Build a simple stage dictionary

Example admissions measurement definitions
StageEvidence needed
Website inquiry event
The defined form action completed in the website system
Distinct inquiry
An admissions record meeting the school's deduplication rule
Scheduled visit
A visit arrangement recorded for the relevant person or household
Attended visit
Attendance confirmed by the school
Application
The defined application stage in the official system
Enrollment
The school's agreed enrollment status, with its effective date

The exact definitions belong to the school. An application started and an application completed may deserve separate stages. A deposit may not be the same as a student starting school. The report should preserve those distinctions when they affect a decision.

Use a matched cohort for progression

A cohort is the defined group whose later progress you want to examine. For example, the school might review distinct prospective students who first inquired about a particular entry year during a selected period. Later visits and applications can then be linked to that same group where reliable records permit it.

In a hypothetical example, 40 distinct prospective students enter the cohort and 12 later attend a visit. The inquiry to attended visit rate is 12 divided by 40, or 30%. If those 12 people generated 20 event registrations between them, the registration count does not change the number of people who attended.

If some members have not had enough time to progress, say so. A cohort assembled yesterday cannot be fairly compared with one that has had several months to complete visits and applications. The observation window is part of the metric.

Handle repeats and missing information explicitly

Write a deduplication rule with admissions staff. A repeated submission may be the same inquiry, a correction, or a genuinely new program interest. The system should preserve the underlying records while the report applies the agreed counting rule.

Do not force uncertain records into a confident match. If the school cannot determine whether two records belong to the same person, identify the limitation. If a channel is missing, we'd rather show an unknown row than credit whichever campaign is easiest to name.

Keep personal records in the appropriate school systems and use the minimum aggregate information needed for marketing review. The reporting plan should not collect additional student details merely to make attribution appear more complete.

Compare admissions cycles with their context

A meaningful comparison should keep the entry year, program scope, and stage definitions visible. It should also note changes in available places, admissions deadlines, visit capacity, campaign timing, and response processes. Those conditions can influence progression independently of website content.

A year to date comparison may need equivalent points in the admissions calendar rather than identical calendar dates. If an open house moved to a different month, event registrations may shift even when family interest is similar. The admissions season content plan helps document those changes.

Use the report to ask a specific operational question. Are families receiving a timely response? Do they understand the program before visiting? Are applicants reaching the correct instructions? These questions connect the numbers to an improvement the school can make.

Keep attribution separate from causation

A family may discover the school through search, hear about it from another family, and return directly before submitting a form. A reporting system may attribute the final event to one touchpoint, but that does not prove the touchpoint caused the decision by itself.

Report the attribution model or source rule used and preserve unknowns. When the school changes a page and later sees more inquiries, treat the change as an observation requiring context. Seasonality, recruitment activity, and program availability may also have changed.

Clear program pages can improve the information available to families. Whether they improve enrollment progression is a separate question that needs appropriate records and a careful comparison.

Common measurement questions

Which rate should a school put first?

Choose the rate connected to the current problem and backed by reliable data. A visit scheduling problem calls for different evidence from an application completion problem. Keep the underlying counts beside the rate so a small sample is visible.

Can we report enrollments if the marketing platform cannot see them?

Use reliable school records when they are available and appropriate to the review. Do not infer enrollments from a thank you page. State the matching method and any records that could not be linked confidently.
