Keep Your Business Info the Same on Google, AI and Your Site

You changed your hours or dropped a service last year, and now your site, your Google profile and an old directory listing each say something different. Trojan Digital Marketing, an SEO and web company based in Indianapolis, fixes this with one facts sheet the owner approves. We check each page, profile and schema field against it. Start with Jeff Clerisier, our founder: the first strategy call is free, and during business hours we aim to reply within five minutes.

This practice supports the AI Mode SEO buying journey, but its value is broader than one search feature. Sales, support, content production, and website maintenance all benefit from knowing which facts are approved and who can change them.

Begin with business identity, services, geographic coverage, contact routes, eligibility, commitments, and important exclusions. Include facts that determine whether a buyer should contact the company or what they should expect afterward. Do not start by collecting every adjective ever used in the brand's marketing.

We hold ourselves to this. We're based in Indianapolis and serve other markets remotely. So our Google Business Profile lists a service area with no street address, and our town pages don't claim an office there. For on-site trades, coverage often depends on the job type and crew capacity, so describe the real arrangement.

Google's Business Profile representation guidelines distinguish eligible locations and service area arrangements. A new city focused website does not by itself create eligibility for another business location.

Create an approved facts record

We keep the facts sheet as a simple table: a fact ID, the approved wording, the evidence, who owns it, the date it took effect and what triggers a review. The approved wording can be concise; the evidence may be a business policy, contract, operational confirmation, or current public source.

Separate the fact from its presentation. “Consultations are delivered remotely for eligible clients nationwide” might be a fact. One page may explain the workflow, another may discuss project preparation, and a third may compare remote and on site needs. They do not need identical paragraphs to agree about the underlying service.

The AI Answer Kit can help organize a reusable facts pack. Treat it as a starting point for review, with a person responsible for confirming its contents, rather than an authority score or a substitute for operational approval.

Map where each important fact appears

List owned pages, structured data, downloadable materials, contact forms, public profiles, and authorized partner descriptions that depend on the fact. Prioritize high consequence facts rather than attempting an exhaustive inventory immediately. A wrong phone route or eligibility promise deserves attention before a minor wording variation.

Mark whether the business can edit each source directly. For a third party page, record the correction process and the request status. Do not mark the issue resolved merely because a request was submitted. Keep the current public state separate from the intended update.

The business entity consistency playbook provides a more detailed inventory and change process for teams with many pages or markets.

Resolve contradictions before standardizing style

We sort problems into two piles. A contradiction changes meaning, like “available by appointment” on one page and “open for walk ins” on another, while a wording difference only changes presentation. We fix contradictions first and polish wording later.

For a hypothetical agency, an old service page may promise content production within every website project while the current scope treats it as an optional service. The correction requires agreement about the actual offer and then updates to dependent pages. Replacing a few keywords does not resolve the mismatch.

Comparison pages need particular care because they often summarize several facts in small cells. Review the comparison writing method before shortening a qualified statement into an absolute claim.

Keep structured information aligned with visible content

Google's structured data policies require accurate, relevant information aligned with the page. A machine readable field should not claim an office, review, credential, or offer that the visible experience does not support.

Review structured data during the same change that updates the visible fact. Otherwise, a team can correct the service page while leaving an older machine readable description behind. Syntax validation is useful, but it does not replace a factual check by someone who knows the business.

Give changes an owner and a release path

When a fact changes, we name who approves it, who updates each place it appears and how we'll confirm the public page shows it. Record the effective date and keep a brief explanation of the change. This is especially useful for service discontinuations, ownership changes, contact migrations, and altered eligibility conditions.

Use a draft review when a change affects customer expectations. The public page should continue presenting the approved version until the replacement is ready. After release, inspect the public destination and dependent contact routes. A successful CMS save is not enough if the public page still serves stale information.

Use questions and reporting to find weak spots

Repeated customer confusion can reveal a fact that is unclear or inconsistently presented. Add those questions to the buyer question map and identify the source that should answer them. If an AI answer repeats an outdated fact, investigate current owned and external references without assuming you know which source caused it.

We track fixed facts, open correction requests and the questions callers keep asking. Those tell us more about what to fix next than a broad visibility score does. Do not claim that a correction guarantees a particular generated answer or ranking.

Begin with the facts customers rely on most

Maintain a short exception list for facts that vary legitimately. A service may have different preparation requirements for different project types, or a contact route may depend on whether the person is an existing customer. Record the condition and the appropriate wording for each case. This prevents an enthusiastic consistency effort from erasing a distinction the operations team actually needs. The goal is coherent meaning, including accurate variation, rather than uniform statements that oversimplify the business.

Choose one important service and review its identity, scope, eligibility, contact route, and commitments across the main pages. Resolve the highest consequence conflicts, then expand the inventory as the process becomes routine.

Ask Trojan Digital Marketing to review your business facts across the search journey. Bring the pages and any approved service documents. The useful outcome is a maintained source of truth and a clear correction list, not identical copy pasted across the web.
