The path from campaign investment to a useful inquiry

Window replacement microsites should become working business assets, with account access and inquiry history your company can use. This checklist follows the branded network through website administration, consultation requests, and the records used to evaluate opportunities.

If you stopped paying your window lead provider tomorrow, what would you still have? Often very little of the system that produced those leads. Owning a website helps little if nobody handed over the logins and exports. Whoever you hire, turn the word “owned” into terms you can check. With an owned window replacement network from Trojan Digital Marketing, the domains are registered in your business name and every inquiry is included with no per lead fee. Jeff Clerisier, our founder, reviews the agreement schedule with you before anything is signed. To see one, book a call: the first strategy call is free, and during business hours we aim to reply within five minutes.

This article covers marketing assets and measurement decisions. It does not treat prospective customers as property. People retain their choices about whom to hire and how they wish to be contacted. A useful owned lead program gives the installer control of its approved business assets and appropriate access to inquiry information, with clear responsibilities for the vendors involved.

An installer owned microsite and a paid lead program describe different parts of acquisition. The microsite is a business asset with your product information, brand, and consultation route. A paid introduction is contact information or an inquiry supplied by another provider. Advertising can also send paid visitors to your own microsite, so owned and paid are not mutually exclusive.

A window business should compare requests at a meaningful stage. An owner seeking a glass only repair is different from an owner considering full window replacement or a manager planning several openings. If the installer only accepts replacement projects, each channel’s apparent lead count should be separated from the number of suitable consultations it creates.

Check whether a purchased lead also goes to other installers. Some arrangements are exclusive and others aren’t. Our networks assign one contractor per agreed trade and market, and homeowners can still call others. Direct microsite inquiries come through your installation brand, but customers can still compare other installers and products. Ownership concerns the business controlled asset and its permitted records, not control over the buyer’s decision.

When comparing expense, count consultation preparation and follow up as well as acquisition spend. An organic resource needs ongoing product updates and useful evidence. A paid campaign needs budget and management. Both can support the same well designed consultation page, while separate source fields help the installer understand what each route contributes to qualified discussions and later project outcomes.

Separate asset ownership from account administration

A vendor may administer an account without owning it. Conversely, a business may be named as owner but have no working recovery method. Your review should confirm both the contractual rights and the practical access needed to use them.

We’d begin with the domain registrar, since a missed renewal there takes the whole site down. Our network domains can move registrars without buying the full platform migration. Record the registrant arrangement, owner login, renewal contact, payment responsibility, and transfer process. Then repeat the exercise for hosting and the content system. Ask whether the installation company can export pages, images, redirects, and form records in usable formats.

Do not assume every component has the same rights. A custom article may be assigned to the installer, while a stock photograph remains governed by a license. A form integration may depend on a paid service. A website export may not include a proprietary calculator. List those dependencies so “handover” describes a usable outcome instead of a folder of incomplete files.

Define what happens when the relationship ends

An exit plan is easiest to write before there is a dispute. Identify the handover format, timing, account access changes, and services that stop when management ends. Specify what happens to hosting, form notifications, tracking numbers, and scheduled reporting. These are separate operational questions even when one agency manages them all.

A hypothetical installer might own the site copy but discover that its main advertised tracking number belongs to a service it plans to cancel. The solution could involve a supported transfer, a replacement number, and coordinated updates. The right choice depends on the provider arrangement; it should not be an unpleasant surprise after the public contact route stops working.

For an implementation scope, the window replacement lead generation service can include an initial asset register. The microsite networks service addresses how those assets fit together when more than one destination is justified.

Give every inquiry a durable identity

Keep the outcome definitions separateTrack visits, inquiries and booked jobs separately. The widths illustrate stages without showing measured totals.

Attribution starts with consistent records. Assign a stable inquiry or opportunity identifier and retain the original submission date, page, available source, and project description. When someone sends another form or calls later, staff should be able to connect the activity without deleting the original history.

A duplicate is not automatically worthless. A second contact may indicate a changed scope, an unanswered question, or a household member joining the conversation. Distinguish duplicate contact activity from a genuinely separate project. Document the rule so a report does not inflate opportunity counts whenever one homeowner uses two channels.

Window projects also develop over time. “Three windows” can become an entire elevation after assessment, while an initial whole home inquiry may become a phased plan. Preserve the initial need and update the qualified scope separately. Otherwise the source page appears to have attracted a different kind of inquiry from the one it actually received.

Keep observed source separate from claimed causation

A source field describes available evidence. It does not establish every influence on the sale. The first recorded visit, final recorded visit, referring partner, and homeowner’s own explanation can all contribute different information.

Suppose, hypothetically, a homeowner reads a comparison article, later hears about the installer from a neighbor, and finally types the company’s name into a search engine before calling. Crediting the entire sale to the final visit hides the earlier activity. Crediting the entire sale to the article is also stronger than the evidence supports.

Use separate fields where the distinction helps a decision: first known source, latest known source, self reported source, and relevant assisted content. Mark unknowns honestly. Do not fill missing data with whichever channel the marketing report is intended to promote.

Agree on the meaning of a qualified opportunity

A form submission is an inquiry. Qualification adds verified fit: the project is in the service area, the requested work matches the installer’s offer, and the team has enough information for the next step. A consultation scheduled is a different milestone from a consultation completed.

The business should define these stages with the people who actually answer calls and prepare estimates. Avoid a rule that counts only sold jobs as qualified leads. That hides sales, product, timing, and customer choice factors inside a marketing metric. At the same time, do not count unrelated repair requests as replacement opportunities simply because they reached the form.

Report outcomes with reasons that support action. “Outside coverage” may suggest a service area clarity problem. “Product unavailable” may identify outdated content. “No response after agreed attempts” points to an unresolved contact outcome. “Chose another installer” does not, by itself, demonstrate poor inquiry quality.

Review the dashboard and the handover together

Keep useful information dependableReview the evidence, update what changed and check the published result. A new date alone adds no value.

Before launch, ask for a sample report and a sample data export. Confirm that the fields in the report exist in the installer’s accessible records. If a dashboard cannot explain how it derived its totals, its presentation quality does not make the attribution reliable.

Then schedule ownership and access reviews alongside the network maintenance process. Staff changes, expired licenses, and disconnected integrations can undermine a sound original arrangement. Useful assets can retain or build value with ongoing care, but neither control nor reporting guarantees search visibility or sales.

Use the planning guide to connect these decisions to content and intake. Trojan Digital Marketing’s installer marketing service can help make the resulting scope concrete, with account responsibilities and measurement definitions written before implementation begins.
