A plan moving from scope to delivery and review

Someone on your team saw an AI answer link to your site and saved a screenshot. A month later nobody remembers the question or the date. A citation log fixes that with one row per answer: the exact question, the date, the cited page and whether the answer got your facts right. Trojan Digital Marketing offers AEO and GEO work, and we’d set this log up before changing any page, so later checks have something to compare with. Ask us to help start yours: the first strategy call is free, and during business hours we aim to reply within five minutes.

Start with the AI visibility baseline guide to define the decision you want to support. This article focuses on the collection process: choosing questions, recording responses, classifying citations, and keeping a review consistent over time.

Define what counts as a citation

Evidence

Connect an answer to its evidenceA useful answer explains the question, supports the claim and identifies the source.

Use a linked source as the basic citation unit. Record an unlinked business mention separately. A link to the company’s own page is also different from a link to a directory that describes the company. Both can be relevant, but they point to different sources of information and require different follow up.

Decide whether repeated links to the same URL in one answer count as one cited page or several link occurrences. For most content reviews, one cited page per response is easier to interpret. Keep the raw links so the team can revisit the definition without losing the underlying observation.

A citation does not imply endorsement of every claim on the destination page. Read the surrounding answer and the source itself. The response may cite a page for a narrow detail, mention it as an example, or describe it inaccurately.

Choose realistic questions before collecting answers

Build the initial question set from customer tasks. A hypothetical equipment rental company could examine questions about selecting equipment, preparing for pickup, delivery availability, and information needed for a quote. We’d pick those tasks over a long list of near-identical “best rental company” prompts, because each task points to a page you can actually fix.

Include the context a real customer might provide, such as a service location or project type, and record that context exactly. Avoid inserting the company name into every question if the purpose is to observe discovery without prior brand awareness. Branded fact checking can be a separate part of the review.

Keep exploration separate from the recurring set. New questions can reveal opportunities, but replacing difficult questions with easier ones changes the measurement. Assign a version to the question set and document additions or removals.

Use a practical record structure

Suggested fields for one observation
FieldWhat to record
Observation ID
A unique internal reference
Provider and feature
The assistant or search experience used
Date and time
When the response was obtained, with a consistent time zone
Question and context
The exact prompt and material supplied
Response record
A saved copy or permitted internal reference

The destination as shown, plus the resolved page if reviewed
Classification
Own page, third party page, unlinked mention, or no observed appearance
Accuracy note
A specific description of what was correct or incorrect

Store the log where the team can keep access and see its history. Keep private customer details out of any public citation archive. A realistic example can use a fictional business situation without copying sensitive information from an actual inquiry.

Check the linked page before drawing a conclusion

Give each part of the page a jobThe offer, evidence and contact route should work together on a small screen.

Open the source and confirm what it says. Note redirects, retired pages, or a mismatch between the cited title and the destination. If the response links to an old service page, the useful action may be to update or consolidate that page rather than create more content.

Distinguish page accuracy from answer accuracy. The website may be correct while the response misstates a detail. Conversely, a response may accurately repeat an outdated statement on the website. These situations need different corrections, so the log should identify where the discrepancy begins. If the answer gets an approved business fact wrong, compare the AI SEO service scope for correcting business facts.

For Google’s AI search features, consult its official website guidance when investigating access and presentation. Provider guidance explains supported requirements; it does not turn a single observation into a guaranteed explanation of selection.

Review patterns without manufacturing a ranking

Summarize the recurring question set by task and cited page. You might learn that process questions cite an explanatory article while service selection questions provide no relevant company appearance. That can guide a content review without assigning an invented average rank across different answer formats.

Show the denominator. “Four own page citations in twenty recorded responses” is interpretable within the stated sample. “Twenty percent AI visibility” can imply much broader coverage than the collection method supports. Name the sample and keep the wording tied to it.

Use the small dataset guide when the counts fluctuate. A short log is a starting point for investigation, especially when response contexts or available features change.

Keep citation evidence separate from traffic evidence

A saved link shows an observed appearance. It does not tell you how many customers saw the same response or clicked through. Use website measurement for available referral activity and the sales process for qualification. These records can inform one another without being interchangeable.

The workflow in connecting AI referrals to inquiries explains how to make that handoff. If a cited page receives no attributable visits during the review period, record both observations without inventing a cause. The page may still be useful, and the measurement may not capture every journey.

Turn a log entry into a useful task

Write tasks around confirmed facts. An incorrect service area can become a business information correction. A missing explanation can become an editorial assignment. An unclear destination can become an internal link or navigation review. Each task should identify the relevant page and how the team will confirm completion.

A response that simply omits the business may warrant more observation. We wouldn’t turn every omission into a redesign request, since one missing answer is a single observation. The AI discovery baseline playbook helps organize that broader investigation, while the business facts maintenance playbook provides a process for keeping corrections current.

Common collection questions

Should we save only responses that cite our business?

No. Keep the entire defined set so the review has context. Selective collection prevents the team from understanding how often an observed appearance occurred within its own procedure.

Can a public screenshot replace the log?

A screenshot can support a record, but it may omit the full question, context, source destination, or collection date. Keep those fields alongside it and review what can appropriately be shared.

How often should the team collect responses?

Choose a cadence the team can sustain and connect it to a real decision. Consistency matters more than collecting large volumes without review. If the procedure changes, document the change before comparing the next set.
