Signing slips often happen after the signature looks finished: an older file gets attached, a date stays empty or the mark lands on the wrong page. So check the document, the saved export and the recipient before you hit send.
Trojan Digital Marketing offers a free PDF signer for visible signatures, initials, dates, text and checkmarks. Your file stays on your device, and it takes PDFs under 20 MB. Sign there if that suits what the recipient asked for, then check the saved file with the steps below. A tidy page still needs the full check.
We’d pick one delivery copy before opening email or the upload portal. If you’ve exported several attempts, move the rejects into another folder. Then attaching the file is a choice, with no guessing between two near-identical names.
Check that the signing method is the right one
We’d read the recipient’s instructions before touching the file. Do they want a returned PDF with a visible signature, or have they provided a specific signing link or certificate requirement? Our signer, like any tool that places a mark on the page, doesn’t verify who you are or create a cryptographic digital signature.
When a digital certificate is required, use the designated method. Adobe’s digital signature instructions show a certificate workflow with a digital ID. If you’re not sure what they expect, ask first. It’s quicker than preparing the wrong kind of file.
Read the version, not just the filename
Open the document and confirm its title, date or version, parties, and page count. Two files can share a name while containing different text. Check the actual content you are about to complete, especially if the other party has sent revisions through several messages.
We’d keep the untouched original next to the working copy. If somebody later asks which document you used, you should be able to identify it without relying on memory. A source copy also gives you a clean starting point if you make a placement mistake and need to start again.
Inspect every field you completed
| Element | Review |
|---|---|
| Signature | Correct page, correct role, clear mark, no covered text. |
| Initials | Present where requested and distinguishable from the full signature. |
| Date | Correct value and the format requested by the form. |
| Text | Accurate spelling and no clipped characters. |
| Checkmark | Clearly aligned with the intended option. |
Zoom in enough to inspect the mark and zoom out to see its relationship to the whole page. An oversized signature may cover a label; an undersized one may be difficult to read. Our signer accepts PNG, JPG or WebP uploads, so check that an uploaded image’s background doesn’t cover nearby text.
Review role labels carefully on documents with multiple signers. A customer field, witness field, and company representative field may look similar while serving different purposes. Complete the fields assigned to you, and follow the agreed sequence for the remaining participants.
Reopen the exported PDF
Save the completed output with a name that distinguishes it from the source. Then open it in a separate PDF viewer, outside our signer. This confirms that you are reviewing the deliverable rather than a preview that still contains unsaved changes.
Visit every page with a placed element and check the pages between them. Confirm that the total page count is correct and that no page is unexpectedly blank. Read small printed content near each mark. If you needed links or form features to remain usable, test those features in the output instead of assuming the visible page tells the whole story.
If a placement is wrong, correct the working copy and export again. Give the replacement a clear identity so you do not accidentally attach the earlier attempt. Remove ambiguity from the delivery folder by separating rejected drafts from the file approved for sending.
Do not infer verification from appearance
A visible signature does not demonstrate that a certificate has been validated. For a certificate signed document, a suitable viewer checks the signed content and certificate trust. Adobe explains the validation process. Our signer doesn’t do that identity check.
Keep files from an established certificate signing workflow intact unless the workflow specifically calls for a change. Merging, converting, or otherwise rebuilding a document produces a different file and may interfere with the process the recipient expects. When another party manages that process, ask for their next step.
Check the handoff
- Select the intended recipient or submission destination.
- Attach the exported file you just reviewed.
- Confirm that the attachment name matches your delivery copy.
- State the requested next action when a response is needed.
- Keep the delivered version with the related project record.
For the full preparation steps, read how to add a signature to a PDF in your browser. If the mark itself needs improvement, compare drawn, typed, and uploaded signature methods.
If your team sends the same documents every week, our AI automation services and our article on small business automation look at the handoffs around the file. Jeff Clerisier, our founder, can scope a document assistant for that routine on a free strategy call. Settle the right file, signing method, reviewer and recipient before making any of it faster.
